How to Update Your Assets

Once we have your Assets in UpKeep, you can also use our Update Feature to make mass updates to your Assets. This will allow you to save some time from updating each asset individually.

Keep in mind that the template CSV used to update your assets is slightly different from the one you use to import new assets! You’ll need to use this exact template for updating your assets.

How to Update your Assets

  1. Go to your Assets/Equipment Section
  2. Select Update
  3. Click Download Current Assets
  4. Open CSV in Excel/Google Sheets
    • Do not remove or change any headers in Row 1
    • Make the necessary changes to your Assets
  5. Save the CSV file
  6. Upload new CSV under the Assets tab > Update > Upload CSV​
You can change or update existing information and add new information to empty columns, but you cannot erase or delete existing information!

This guide will indicate the Columns that can be updated in the CSV

Column Notes
B – Asset Name Update the Asset name

  • Note: We recommend that you keep all of your Asset names unique from one other. Avoid duplicate names.
  • Ex: Building 1 – HVAC #1
C – Description Update the Asset’s description

  • Ex: Specs, details
D – Model Update the Asset’s model information
E – Serial Number Update the Asset’s serial number or barcode

  • Note: This data will be used to generate your Assets’ QR Codes which can be scanned using our mobile app
F – Category Update the category for this Asset. Categories are used to group Assets together and can be used as a filter option for reports

  • Ex: HVAC, Slitter, Truck
G – Area Update the description as to where the Asset can be found inside of the Location that it’s assigned to

  • Ex: Zone 3, Northeast Corner, space 125
H – Location ID Locate the Location ID via the URL Address. This is the last ten characters after the forward slash. Please see the example below:

K – Assigned to ID Select the user in the People & Teams section. This is the last ten characters after the forward-slash. Please see the example below

M – Additional Information Enter in any additional Asset information
O – Purchase Date Enter in the Asset’s purchase date (mm/dd/yyyy)

  • Note: this field can only be completed if you’re on the Business Plus Plan
  • Ex: 11/25/18
P – Service Date Enter in the Asset’s service date (mm/dd/yyyy)

  • Note: this field can only be completed if you’re on the Business Plus Plan
  • Ex: 11/28/18
Q – Purchase Price Enter in the Asset’s purchase price

  • Note: this field can only be completed if you’re on the Business Plus Plan
  • Ex: 20000
R – Warranty Expiration Date Enter in the Asset’s warranty expiration date (mm/dd/yyyy)

  • Note: this field can only be completed if you’re on the Business Plus Plan
  • Ex: 11/25/22
S – Residual Price Enter in the Asset’s residual price

  • Note: this field can only be completed if you’re on the Business Plus Plan
  • Ex: 2000
T – Useful Life Enter in the Asset’s useful life (in years)

  • Note: this field can only be completed if you’re on the Business Plus Plan
  • Ex: 3 years
