How to Add & Use Parts/Inventory

Within UpKeep, you can maintain your entire inventory so you know exactly where things are. You can also use our barcode scanner for simple and easy access from a mobile device. You can set a minimum quantity for your parts. So when the quantity of a part dips below that minimum, you’ll be able to tell those parts are running low!

[tip]For large lists of parts, you have the ability to import them all at once! Click here to learn how to import your parts into UpKeep! [/tip]

How to Add a Part

  1. Navigate to the Parts/Inventory section
  2. Add a new part to your inventory by pressing the “+ Part” button
  3. Include the part name, quantity, and other details such as the location or bin number. You can even add photos for those items that look very similar, so you can tell them apart!
  4. Click Submit to save!

[tip]When parts are assigned to work orders, inventory will automatically be subtracted from your parts. You can also track the usage of all of your parts in the history section as well![/tip]

How to Use Parts/Inventory and Additional Information

Within the Parts tab, you are able to also:

  • Filter your Parts
  • Export your Parts
  • Customize your View

How to Filter your Parts (and create a quick filter)

On the top left-hand side of your Parts page is a filter button (looks like a funnel). Click on that to access the different filtering options so you can sort into your view the Parts you are looking for. This is super helpful if you have a lot of parts entered into your system.

Click on Reset Filters to clear any selected filters and start fresh.

[tip] How to Save a Quick filter: if there is a filter you use a lot or need quick access to, click on the Save Filter button! Name it and you will find it under the Quick Filters button. [/tip]

How to Export your Parts

You can export all of your parts. Or if you filter your parts first, you can export only the parts that have been sorted into your view.

[tip] Exports are limited to a maximum of 1000 at a time, so you can select the range of parts that you’ll be exporting! [/tip]

How to Customize your Parts View

You can customize the table view to show you the fields most relevant to you or switch to a Card View! Look for those buttons and click on them for further customizability. See the image below as an example:
