You can review the costs and time that your team is spending on work orders. The range of reports includes:

  • Status Report

  • Work Order Analysis

  • Maintenance Compliance

  • Work Order Aging

  • Time & Cost

At any point, hover your mouse cursor over the charts and see even more fine-print data! Click into it to drill down deeper into the report. For example, you may drill down by priority, asset name, or location name.

โš ๏ธIt may take an 1-2 hours to see any new changes reflected in the data for Analytics


How to Use UpKeep Analytics โ€“ Work Orders

For all the reports under Work Orders, the date range that can be selected vary between Due Date and Date Completed.

  1. Start by applying the filters in any of the reports to show you what you are looking for

  2. Once your filters are applied, click on the Reload button

  3. Now that the report is refreshed, you can view the data tiles.

๐Ÿ’กEach tile/table/chart may have a clickable object or number, click into it to drill down deeper into the report! For example, you can drill by priority, asset name, or location name


How to Export your Report

  1. Hover your mouse cursor over any available tile

  2. Click on the 3 vertical dots, then click Download Data

  3. Choose your file format for the download (TXT, Excel Spreadsheet, CSV, JSON, HTML, Markdown, PNG)

  4. Finally, click Download to save the file to your computer!

    ๐Ÿ’กClick on the 3 vertical dots on the far top right of the dashboard to export the data in a ZIP file for all of the tiles! The available options are CSV or PDF.


Status Report

This report serves as a high-level, rapid overview of your team's current work orders, including those that are due or currently in progress. Supervisors and planners can utilize this report to ensure that ongoing work is being completed on schedule and to highlight any incomplete tasks that may require attention. ๐Ÿ“Š๐Ÿ‘จโ€๐Ÿ’ผ๐Ÿ“‹๐Ÿ”๐Ÿšง๐Ÿ•’

๐Ÿ’กCompliant WOs are work orders completed before their assigned due date. Cycle time refers to the number of days until a work order was completed.

โš ๏ธThis dashboard uses the DUE DATE filter. This means if your work orders do not have due dates, they do not show up on this dashboard in the results.


Work Order Analysis

Utilize work order analysis to review completed tasks. This report serves as an audit for the total work orders, personnel, costs ๐Ÿ’ฐ, and completion times โฑ.

๐Ÿ’กCompliant WOs are work orders completed before their assigned due date. Cycle time refers to the number of days until a work order was completed.

โš ๏ธThis dashboard shows only COMPLETED work orders (as the date range filters require Date Completed - the work orders need to have a complete status and date). Open, On Hold, and In Progress work orders do not show on this dashboard results


Maintenance Compliance

  • Compliant work orders are work orders completed on or before their assigned due date.

  • Non-compliant work orders are work orders completed, but not compliant (completed after its assigned due date).

The maintenance compliance report provides a valuable insight into the percentage of preventive maintenance activities completed on schedule. By utilizing filters, you can uncover patterns of non-compliant work orders, identifying when and where they occur, or which equipment is affected.

This data-driven approach enables you to enhance technician planning and scheduling, making informed decisions to proactively reduce the number of non-compliant work orders. ๐Ÿ“Š๐Ÿ”๐Ÿšง๐Ÿ“…๐Ÿ› ๏ธ๐Ÿ‘จโ€๐Ÿ”ง๐Ÿ“ˆ

Work Order Aging

This report allows you to review incomplete work orders within the selected filtered date range. It provides insights into which assets have the highest number of incomplete work orders and identifies workers who might be taking longer or have a greater number of unfinished tasks. ๐Ÿ“Š๐Ÿ”๐Ÿ“…๐Ÿญ๐Ÿ”ง๐Ÿ‘จโ€๐Ÿ”ง๐Ÿ“ˆ

๐Ÿ’ก Work order age is defined as the number of days between the creation of the work order (or work request) and today.
