How to Add and Use Assets

At the end of the day, an asset is just something that generates revenue for your business. Assets are typically static and are physical. Assets can be anything from apartment units to physical equipment. Anything that you’d like to associate a work order to.

UpKeep is the central location for all your asset information. Upload additional resource files like manuals or schematics, view work orders completed on the asset, view updates from your team, and more.

[tip]Depending on the business type you chose during setup, Assets can have a different name. They can be called “Units”, “Equipment”, “Vehicles” or “Assets”. [/tip]​

We have two levels on the Asset hierarchy. This includes our Parent Asset and our Child-Asset. Child assets are components of the Parent asset where you may be completing work on or maintaining as well. Your assets may qualify as a child asset if your parent asset does not function without that asset.

Add Individual Assets

Within UpKeep, they can be assigned to locations and each asset can have a 2 layer hierarchy of asset and sub-asset (or parent and child asset).

  1. Navigate to the Assets section
  2. Click on + Asset
  3. Give it a name, take a picture, add a barcode, and other information you need for your asset
  4. Finally, once your information is entered, click Submit or Save!

[tip] If you are adding a Child Asset, select the Parent Asset from the drop-down list in that field. Keep in mind you’ll need to first have your Parent Assets added already! [/tip]

How to Use Assets and Additional Information

Within the Assets tab, you are able to also:

  • Filter your Assets
  • Export your Assets
  • Customize your View

How to Filter your Assets (and create a quick filter)

On the top left-hand side of your Assets page is a filter button (looks like a funnel). Click on that to access the different filtering options so you can sort into your view the Assets you are looking for. This is super helpful if you have a lot of assets entered into your system.

Click on Reset Filters to clear any selected filters and start fresh.

[tip] How to Save a Quick filter: if there is a filter you use a lot or need quick access to, click on the Save Filter button! Name it and you will find it on the top right-hand side of your Assets. [/tip]

How to Export your Assets

You can export all of your assets. Or if you filter your assets first, you can export only the assets that have been sorted into your view.

[tip] Exports are limited to a maximum of 1000 at a time, so you can select the range of assets that you’ll be exporting! [/tip]

How to Customize your Assets View

You can customize the table view to show you the fields most relevant to you or switch to a Card View! Look for those buttons and click on them for further customizability. See the GIF below as an example:
