Paid Account Types
Administrators
Admins wield full control over your UpKeep account, with the power to add, change, or remove anything in the system. You can have multiple admins too! πβ¨
Limited Administrator
Limited admins in UpKeep can't access Company Settings but have a view-only access to People & Teams. They can create and delete their own items and receive the same notifications as admins, including cost and hourly rates in work orders. They're valuable contributors with some restrictions! π οΈπ€π
Technicians
Technicians are the real superheroes in UpKeep! π¦ΈββοΈπ§ They excel at closing work orders, completing jobs, and are often the fearless field technicians. They enjoy full visibility of all team-related objects like work orders and assets. Technicians hold the power to edit work orders, locations, and assets they've created, but they cannot edit or delete items they haven't created. Their skills shine as they work on tasks within work orders, effortlessly updating with photos and status updates. πΈπͺ So, trust your Technicians to keep things running smoothly with their exceptional capabilities! ππ
Limited Technicians
Limited technicians have almost the same privileges as regular technicians, but there are some important differences. They can only see work orders, locations, or assets that are assigned to them or a team that they are a part of. So, to let them see specific locations and assets, admins need to assign them. Limited technicians can assign work orders to themselves or their team, but if there's something else they should work on, admins need to assign it to them. It's all about making sure they have access to what they need to get the job done! πͺπ§π
Unpaid and Free Account Types
These user types don't need a license, and you can have as many of them in your account as you need. ππ No restrictions on the number of users of these types! π₯πΌ
View Only Users (also known as View & Request)
View-Only users are like observers in the account. They can see almost everything an admin can, except work requests and purchase orders. They can't change anything, but they can still submit work or purchase order requests if something needs fixing or they want to know a job's status. They can also add comments to their own requests and the related Work Orders. They're great for keeping an eye on things without making direct changes! π΅οΈββοΈππ
Requester Users
Requesters are your facility's eyes. They submit requests and get updates on their submissions. They can't see internal details like Work Orders or other users' requests. Updates come via email/push notifications, and they can check request status when they log in to UpKeep. πππ©
Tracking External Users
Vendors/Customers
Vendors and Customers are meant for internal organization and tracking only. They cannot log in to the account, nor do they receive any notifications. π«π₯ They serve as a handy reference to keep things organized behind the scenes. For instance, you can create a Vendor to manage contractors you frequently work with and assign them to specific work orders. This way, you can easily track who is handling each task and stay updated on the current status of every work order.
